Acuity Scheduling Integration for Freshdesk

Installation

• Install the AppCursor Chrome extension.

• Visit the Ulgebra Apps Marketplace for Freshdesk.

• Under Acuity Scheduling, click on 'Install Acuity Scheduling for Freshdesk'.

• Enter the Freshdesk domain.

• Click on the Freshdesk profile.

• Select 'Profile settings'.

• Copy the Freshdesk API Key available below 'Your API Key'.

• Paste it under Freshdesk API Key.

• Click on Authorize Now.

• Enter the Acuity Scheduling credentials.

• Authorize the Acuity account.

Applications

Appointments from Tickets

• Go to any Freshdesk Ticket.

• Click on the Ulgebra icon.

• Select Acuity Scheduling.

• You can now view the list of all the Acuity Scheduling events.

• Click on 'Book' adjacent to the name of the event you wish to book the appointment using.

• You can also select the required event from the All Appointments drop-down.

• Select the date for booking the appointment.

• Select the appointment time.

• Click on 'Continue'.

• Edit the pre-filled details or enter the required details.

• Click on 'Complete Appointment'.

Booking Details

• Access the details of the appointments booked within the respective ticket as Notes.

Contact Appointments

• Go to any Freshdesk contact.

• Click on the Ulgebra icon.

• Select the Acuity scheduling application.

• Select the Acuity event to book an appointment using.

• Select the appointment date and time.

• Enter the required details.

• Schedule the Acuity appointment.

• Receive the confirmation for the appointment booked.

Contact Booking History

• Select Events History within the application.

• Access the history of Acuity events within the contact and Ticket.

• Here you can view the upcoming and past events associated with the respective contact.

Instant Appointments

• Click on the Ulgebra icon within Freshdesk.

• Select the Acuity Scheduling application.

• Select the Acuity event to book an appointment.

• Select the date and time of the appointment to be booked.

• Enter the details required.

• Schedule the Acuity appointment.

Events History

• Click on 'Events History'.

• You can now view all the upcoming and past Acuity appointments booked.

• Select any event from the All Appointments drop-down.

• You can view all the Acuity appointments scheduled using the selected event.

• Search for any email id to view the appointments scheduled using the particular contact.

• Select any Acuity appointment to view the booking details.

• You can cancel or reschedule an upcoming appointment.

• Click on Cancel.

• In order to complete cancellation, click on 'Yes, cancel appointment'.

• Click on Reschedule.

• Select the preferred date and time.

• Reschedule the appointment.

Booking Links

• Select 'Event Links' within the application.

• You can now view the list of all the Acuity events along with the booking links.

• Click on Open to access the booking link in a new tab.

• Click on Copy to share the booking link easily.

• Select any event from the All Appointments drop-down to access the booking link of a specific event.

Real-time Notifications

• Receive real-time notifications for Acuity appointments.

• Get notified at the Ulgebra and Acuity Scheduling icon.

• Click on the bell icon within the application.

• Here you can access the latest and viewed appointments which would be differentiated for ease.

• Access the associated contact from each notification.

Extension Settings

• Click on your Ulgebra profile within the application.

• You can now view all the settings of the application.

• Also, access the help guide and contact support easily from the settings page.

User Management (For Freshdesk Admin)

• Select Manage App Users.

• You can now view the list of Freshdesk users.

• Click on Add adjacent to the name of the user to enable the user to use the authorized Acuity Scheduling account of the admin.

• Click on Remove to disable the user from this feature.

• You can also Add all or Remove all users.

• Within the user account, the user must access the settings page.

• Here they can view the invite sent by the admin.

• Accept the invite.

• The user must select the admin account for Acuity Scheduling authorization.

Incoming Setup

• Select 'Incoming events sync'.

• Enable 'Capture incoming events' to receive Acuity appointments into Freshdesk.

• A new Ticket and associated contact would be created for Acuity appointments booked by non-existing contacts.

• In case you do not wish for new contacts to be created, enable the option 'Ignore events from NEW customers'.

• You can view the list of Acuity events available within your Acuity account.

• Enable the events you wish to receive incoming from and disable the events you do not wish to receive incoming from.

Application Tab

• Access the integration at all times in a separate tab using the 'Open in New Tab' option.

Application Analytics

• Select 'App Usage Analytics' to view the statistics of the usage of the integration.

Reset Application

• Select 'Reset App Configurations'.

• Enter 'confirm' and click on 'Reset'.

Use the Acuity Scheduler to handle all appointments within Freshdesk.
