Application Installation
Access the Apps section from the panel on the left side.
Here you can find the Calendly Events extension.
Click on 'Add to your account'.
Select the monday.com workspace to install the application in.
Click on 'Install'.
Select the feature 'Calendly Main Board'.
Click on 'Next'.
Select monday.com workspace to add the feature to.
Click on 'Add feature'.
Under the 'Calendly Main Board', select 'Calendly Contacts'.
Access the Calendly Settings view.
Enter the monday.com domain.
Click on 'Authorize Now'.
Authorize the monday.com account.
Enter the Calendly Personal Access Token.
Authorize the Calendly account.
We now have to configure the incoming Calendly events into monday.com.
Select 'Incoming events sync' to access the incoming Calendly setup.
Enable 'Capture incoming events' to sync your Calendly events with monday.com.
New contacts can be created for events scheduled by non-existing customers.
Select the board to which the new contacts are to be added.
Select the 'Calendly Contacts' board or any custom board based on your requirements.
The contacts can be synced using their email id or phone number.
Select the email or phone column from the drop-down.
In case you do not have an existing email column, click on 'Create new EMAIL column'.
Enter the name of the column to be created.
Click on 'Create Column'.
In case you do not have an existing phone column, click on 'Create new PHONE column'.
Enter the name of the column to be created.
Click on 'Create Column'.
Select the column to which the email id of the contact is to be added.
Select the column to which the phone number of the contact is to be added.
All Calendly events created can be added to the 'Calendly Appointments' board or any custom board based on your requirements.
In case you do not wish for new contacts or events to be created in monday.com for non-existing customers, enable the option 'Ignore events from NEW customers'.
You can view the list of Calendly events of all the Calendly agents.
Enable the events from which the incoming meetings are to be synced.
Disable the events from which you do not wish to sync the incoming meetings.
Also, map the incoming Calendly fields to the monday.com fields.
Map the Calendly users to the respective monday.com users.
Under 'Calendly User' you can view the list of users within the Calendly organization.
Under 'MONDAY User' select the monday.com user from the drop-down adjacent to each Calendly to sync the events.
Calendly has been setup in monday.com.
Applications
Calendly Contacts
Access the Calendly Contacts board to view the contacts created due to incoming Calendly events.
Click on the conversations icon to view the details and updates of the meetings with the contact.
Calendly Meetings Board
Access the Calendly Appointments board to track the Calendly events.
Click on the conversation icon to view the details of the event.
Real-time Notifications
Click on the bell icon at the panel on the left side to view the notifications.
Click on the notification to view the booking details.
You can receive instant notifications within the application.
Click on the bell icon to view the Calendly notifications alone.
Access the associated contact from the notifications itself.
Booking Links
Within the application access Event Links.
Here you can view the list of Calendly events of each agent.
Click on 'Open' to access the booking link.
Click on 'Get single-use link' to obtain a one-time link.
Copy the single-use link and share it with the required contact.
Advanced Features
Calendly Meetings of a Contact
Create and view Calendly events of any contact.
Access Apps from the panel on the left.
Click on 'Installed Apps'.
Select Calendly Events.
Under App Features, select 'Calendly Meetings of a Contact'.
Click on '+ Add to board'.
Select the monday.com workspace and board containing the contacts.
Click on 'Add feature'.
Go to the board that the feature has been added to.
Open a contact.
Access 'Calendly Meetings of a Contact'.
Select the Calendly agent with whom the meeting is to be scheduled.
Select the Calendly event.
Select the date and time to schedule the meeting.
Click on 'Confirm'.
The contact details available would be added automatically.
Enter the required booking details.
Schedule the event.
Receive the confirmation for the booked event.
Calendly History of Contact
Within the application, select 'Events History'.
Here you can view the upcoming and past meetings of the particular contact.
Calendly Meetings - List View
Access the history and details of all your Calendly meetings within monday.com within any board or add the Calendly widget to your preferred monday.com dashboard.
Board View
Access the history of Calendly events in your preferred monday.com board.
Under App Features, select 'Calendly Meetings - List View.
Click on '+ Add to board'.
Select the monday.com workspace.
Select the board within the workspace to which the feature is to be added.
Click on 'Add feature'.
Within the selected board, you can now access 'Calendly Meetings - List View'.
View the history of all the Calendly meetings scheduled.
Select any Calendly agent to view the meetings of a specific agent.
Search for an email id to view the meetings of a specific contact.
Select any event to view the details of the event.
You can also modify any upcoming event.
Select 'Reschedule event'.
Select the date and time to reschedule the appointment.
Enter the required details.
Click on 'Update Event'.
Click on 'Cancel Event'.
Enter the cause for cancellation.
Click on 'Yes, cancel event'.
Dashboard Widget
Under App Features, select 'Calendly Meetings - List View'.
Click on '+Add to dashboard'.
Select the monday.com workspace and dashboard.
Click on 'Add feature'.
Access the dashboard to which you have added the feature.
Click on 'Connect boards to get started'.
Select the board you wish to connect.
Click on 'Done'.
You can now access the Calendly history panel within the dashboard.
Click on Fullscreen if required to access the application.
Application Settings
Access Calendly Settings view within the Calendly Contacts and Calendly Appointments board.
Application Tab
Select 'Open in New Tab'.
You can now access the application at all times in a separate tab.
Calendly Users Management
The monday.com admin can allow the users to utilize the Calendly organization account from monday.com.
Select 'Manage App Users'.
Here you can view the list of monday.com users.
Add the users who are to use the Calendly organization account.
You can also remove the users when required.
Add all and remove all users as well.
The user added by the admin can now view the invitation from the monday.com admin on the Calendly Settings page.
Accept the invite.
Select the admin account to authorize Calendly.
Field Mapping
Click on 'Fields Mapping for Sync' to map the fields of the incoming Calendly events to the monday.com fields within the required board.
Click on '+Create New Field Mapping'.
You can also edit, duplicate or delete an existing field mapping.
Enter the name of the field mapping to be created.
Select the Calendly event for which the field mapping is to be created.
Select the monday.com board to which the field mapping is to be applied.
Create an incoming Calendly booking for the selected event with respect to which the fields are to be mapped.
Select the incoming event.
You can now view the list of monday.com fields associated with the board.
Adjacent to each field you can enter a custom value or select an incoming field from the drop-down.
Adjacent to Name, select the name field of the contact.
Adjacent to 'Match existing item using phone column' click on 'Show Available Values' to view the picklist values available.
Enter the picklist value from the drop-down, i.e, phone, within the space provided.
Similarly, enter the picklist value for 'Match existing item using email column', i.e, email, within the space provided.
Select the Calendly fields for each of the monday.com fields.
Adjacent to Status, enter the picklist value based on the status required.
Click on 'Save Field Mapping'.
Application Usage
Select 'App Usage Analytics'.
Here you can track the usage of Calendly Events for monday.com.
Reset Application
Select 'Reset App Configurations'.
Enter 'confirm' within the space provided.
Click on 'Reset'.
All the data of the application would now be deleted.
Thus, simply appointment booking from monday.com using Calendly.
