Asana helps you manage your team's work, projects, and tasks online. With Asana for Zoho CRM, you can create Asana tasks for leads and contacts and assign team members to perform the tasks. You can also create templates for all the Zoho CRM modules to associate with the Asana team tasks using CRM workflows.

Features


Application Installation

Step 1: Go to Zoho marketplace and search for the application Asana for Zoho CRM. Click Install to install the application in Zoho CRM.

Step 2: Select the check box by agreeing to the terms and conditions. Click Continue to Install to install the application.

Step 3: Select the Users/Profiles to whom the extension has to be installed. Once selected, click Confirm.

Step 4: Sign up for an Asana account if you don't have any by clicking the Sign Up option. If you already have an account, then click Authorize.

Step 5: Check the permission access and click Allow by accepting the same.

Step 6: Once accepted, click Finish so that the extension will be installed.

This is the installation and setup of the application "Asana for Zoho CRM".

Application Working

1) Create Asana Task from Zoho CRM for any lead or contact

Step 1: Go to any of the CRM leads or contacts and click the drop-down at the top right corner. Click Create Asana Task option.

Step 2: Select the Asana workspace and the Task assignee from the drop-down menu.

Step 3: Choose the Task or project followers by clicking on the options provided. Once selected, click Done.

Step 4: Choose the project from the option and click Done.

Step 5: Select the due date of the task or project from the mini-calendar displayed.

Step 6: Select the assignee status from the drop-down.

Step 7: Enter the name and notes by selecting any of the CRM fields. This can be done by clicking the option "Lead" provided.

Step 8: Once you click that option, you can view all the CRM lead fields. Select any one among them for fetching the details from the fields. Once done with all the details, click Create Asana Task option.

Step 9: Now, a new task will be created in your Asana account. You can also view all the details associated with that task.

2) Create Asana Templates inside Zoho CRM

Step 1: Click the three dots at the top panel and search for the option Asana Templates.

Step 2: Click Create new template option for creating a new Asana template.

Step 3: Name the Asana template and select the module for fetching the template for that CRM module. Following that, enter all the details as indicated.

Step 4: After entering all the required details, click Save and Generate URL option.

Step 5: Have a note of the URL and the Template ID for future reference and usage. Click Save option for the template to be saved.

Step 6: Now your template will be saved. You also have the option to either edit or delete your template.

3) Automate Asana Task to clients

Step 1: Go to the CRM settings page and under Automation, click the Workflow Rules option for creating a new workflow.

Step 2: Click Create Rule option for setting the conditions for the workflow.

Step 3: Choose the module for which the workflow will be executed. Assign rule name and some descriptions as you need. Once entered, click "Next".

Step 4: Enter the required conditions for the workflow to be executed based on your requirement and under Instant actions, click Webhook option.

Step 5:  Enter the name and description if you require. Select the method as POST and paste the template URL in the space provided which is already been generated.

Step 6: Enter the workflow parameters under the Body part. Select the Type as Form Data. Enter the module parameter in the space provided. The parameter names are case-sensitive. Hence, kindly make sure you are entering it correectly.


Parameter Name   = id

Parameter Type     = Leads

Parameter Value   = Lead Id


Step 7: Enter the custom parameter in the space provided.


Parameter Name   = asanatemplateid

Parameter Value   = Asana template Id which has been already generated while template creation


Once you have entered the values, refresh the preview URL and click Save and Associate option.

Step 8: Finally, click Save to save the created Asana workflow.

Step 9: Now, a new Asana workflow will be created and saved in your Zoho CRM.

Step 10: Whenever the workflow condition is met, the workflow will be triggered and the same can be viewed in the CRM timeline.

Step 11: Hence, based on the triggered workflow, an automated task will be created in Asana.
