Pre-requisites
Must be a Zoho Recruit user.
Must have a MessageBird account.
In case of WhatsApp, an approved WhatsApp number would be required.
Approved templates to initiate WhatsApp conversations.
Enable the required MessageBird Channels.
Application Installation
Visit the Zoho Marketplace where you can find the extension MessageBird for Zoho Recruit.
Install the integration.
Agree to the terms of service.
Click on 'Install Now'.
Click on 'Agree and Continue' to complete the declaration.
Select the Zoho Recruit users for whom MessageBird for Zoho Recruit is to be installed.
Click on 'Confirm'.
Click on the three dots at the panel on top.
Select MessageBird Settings from the drop-down.
Select the Zoho account DC.
Click on 'Authorize Now'.
Click on 'Accept' to authorize the Zoho Recruit account.
Enter the MessageBird live access key.
Authorize the MessageBird account.
MessageBird has now been setup in Zoho Recruit.
Applications
MessageBird Messages
Go to any Zoho Recruit Contact or Candidate.
From the drop-down at the right select 'Send MessageBird Message'.
You would now be redirected to the application.
Select the MessageBird channel to send the message from.
Click on 'Add Recipients' to include additional contacts.
Select the country code and enter the contact number.
Click on 'Add'.
Similarly, you can add multiple contact numbers.
Enter a default country code to be used.
Select the condition for the application of the default country code.
The default country settings available are as follows:
do not add country code
The default country code can be ignored using this option and can be used if all the contacts in Zoho Recruit contain a country code.
add for all phone numbers
In case the contact numbers in Zoho Recruit do not contain a country code, you can use this option to add the country code to all the phone numbers.
add if phone number starts with 0
In case some of saved contact numbers begin with 0, you can use this option to add the default country code to such numbers alone
add if phone number not starts with country code
Using the option the default country code would be added to contact numbers that do not contain a country code alone. In case the number contains a country code, the default country code will be ignored.
Enter the message to be sent.
You can also insert a message template or MessageBird approved WhatsApp template.
Send the message to the Zoho Recruit contact via MessageBird.
Message History
Access the Notes section within any Zoho Recruit Contact or Candidate.
Here you can view the details of the MessageBird messages sent and received from the respective contact.
Contact Chats
Click on the Chat icon within the application.
Select the MessageBird channel to view the chats from.
Select the recipient contact number.
You can view the history of MessageBird chats held with the contact.
Also, send messages from the chat view.
MessageBird Inbox
Click on the three dots at the panel on top.
Select 'MessageBird Inbox' from the drop-down.
Here you can view all the conversations held using MessageBird.
Select any conversation to view the history of chats.
You can view the details and read receipts for the messages below each message.
Also, send messages and conduct conversations within the inbox.
Select a particular MessageBird channel to view all conversations held using a specific sender.
You can also search for any contact number to view the conversations of a particular contact.
Also, initiate conversations from the inbox.
You can initiate conversations using the SMS, WhatsApp & Viber channels of MessageBird.
Real-time Notifications
Receive real-time notifications for your incoming MessageBird messages.
Click on the bell icon with the application to access the real-time notifications.
Here you can view the unread and read notifications which would be differentiated.
Access the contact associated from each notification.
Access the chats held with the contact.
Send Messages using Workflows
Access the Zoho Recruit Settings page.
Select 'Workflow Rules' under Automation.
Click on 'Create Rule'.
Select the module for which the workflow is to be created.
Enter the name of the workflow rule.
Click on 'Next'.
Select the time for the execution of the workflow.
Setup the conditions for the execution of the workflow.
Click on the 'Instant Actions' drop-down.
Select 'Webhooks'.
To obtain the details for the webhook setup, go to any contact within the module you wish to create the workflow for.
Access the application.
Select the MessageBird channel from which the workflow messages are to be sent.
Enter the message to be sent by the workflow.
Click on 'Get Workflow Code'.
Here you can view all the details to setup the webhook.
Enter the name of the webhook.
Copy the Webhook URL and paste it adjacent to URL to Notify.
Select the Method as POST.
Access 'Append Entity Parameters' under URL Parameters.
Under 'Parameters in the User Defined Format', enter the Parameter Name as 'rawDataJSON'.
Copy the workflow code and enter it adjacent to Value Description.
Erase the value adjacent to 'to'.
Click on the 'Select Field' drop-down.
Select the phone field of the contact.
Click on 'Insert'.
Erase the value adjacent to 'recordId'.
Select and insert the contact id field.
Similarly, you can insert the required fields.
Click on Refresh adjacent to 'Preview URL'.
Click on Save and Associate.
Click on 'Save' to enable the workflow.
Automated messages would now be sent to Zoho Recruit Contacts or Candidates.
Extension Settings
Access the MessageBird Settings using the three dots at the panel on top.
View the general features, admin settings and advanced settings for MessageBird for Zoho Recruit.
Access the help guide and support from the settings page.
MessageBird Tab
Select 'Open in New Tab'.
You can now access the integration at all times in a separate tab.
MessageBird User Management
The Zoho Recruit admin can share a single MessageBird account with multiple users.
Select Manage App Users.
You can now view the list of Zoho Recruit users available.
Click on 'Add' to allow the user to authorize using your MessageBird account.
Click on 'Remove' to disable the feature for the user.
You can also Add all or Remove all users.
The added user would receive an invitation from the admin which can be viewed on their MessageBird Settings page.
Accept the invite from the admin.
Select the admin account to authorize MessageBird instantly.
Incoming Settings
Select 'Incoming events sync'.
Enable 'Capture incoming messages' to receive incoming MessageBird messages into Zoho Recruit.
In case of an incoming message from a non-existing contact, a new contact will be created in Zoho Recruit.
Select if new contacts are to be created in the Contacts or Candidates module.
In case you do wish for new contacts to be created in Zoho Recruit, enable the option 'Ignore messages from NEW customers'.
You can also view the list of MessageBird channels associated with your MessageBird account.
Enable the channels you wish to receive incoming from.
Disable the channels you do not wish to receive incoming from.
Desktop Notifications
Allow multiple users to receive desktop notifications for your incoming MessageBird messages.
Select 'Manage App Users'.
Enter the email id of the user.
Ensure that the user has an Ulgebra account with the entered email id.
Click on 'Add User'.
Copy the invite link received and share it with the respective user.
The user must access the link on the browser.
Click on 'Start Receiving notifications on this browser'.
The user can now receive desktop notifications for the incoming MessageBird messages.
Application Analytics
Select 'App Usage Analytics'.
Here you can view the statistics of the usage of MessageBird for Zoho Recruit.
Reset Integration
Select Reset App Configurations.
Enter 'confirm' in the space provided.
Click on 'Reset'.
All the data of the application is now deleted.
Message Sender
Add Sender
Click on the Choose Sender drop-down.
Select '+Add New Sender'.
Select the type of sender to be added as SMS, MMS or WhatsApp.
Enter the Sender Id of the channel as per MessageBird.
Enter the name with which the sender is to be displayed.
Save the new message sender.
Default Sender
Click on the pin icon adjacent to the name of the sender.
The pinned sender would be selected by default while sending MessageBird messages.
Hide Sender
Click on the visibility icon adjacent to the name of the sender to hide the sender.
Message Template
WhatsApp Templates
Access your MessageBird approved WhatsApp templates within Zoho Recruit.
Click on Insert WhatsApp Template.
Here you can view the list of approved WhatsApp templates.
Select the template to be inserted.
Under Placeholders, you can view the list of variables available in the template.
Enter the values for the placeholders in the space provided.
Create Template
Click on the Templates drop-down.
Select '+Add New Template'.
Enter the name of the template.
Enter the content within the template.
Save the message template.
Edit Template
Click on the edit icon beside the name of the template.
Make the required changes within the template.
Save the edited template.
Delete Template
Click on the delete icon beside the name of the template.
The template has now been deleted.
Communicate through the preferred social media channel from Zoho Recruit.
