Pre-requisites


  • Must be a Zoho CRM user.

  • Must have an account with the SMS providers to be used.

Installation


  • Install All In One SMS for Zoho CRM from the Zoho Marketplace.

  • Agree to the terms and click on 'Continue'.

  • Select the profiles for installing the extension.

  • Click on 'Confirm'.

  • Click on Settings on the Configure page of the extension.

  • Select the SMS provider you wish to integrate with Zoho CRM.

  • Select your Zoho account DC.

  • Click on 'Authorize Now' to proceed with Zoho CRM authorization.

  • Click on 'Accept' to complete Zoho authorization.

  • Enter the credentials of the SMS provider account.

  • Authorize SMS provider.

  • Similarly, you can authorize multiple messaging services.

You can now integrate any SMS provider with Zoho CRM.

Applications


Initiate Conversations


  • Go to any Zoho CRM contact.

  • Select 'Send Message - All In One SMS' from the drop-down on the right side of the contact panel at the top.

  • Click on the drop-down adjacent to SMS Provider.

  • Select the SMS provider using which the message is to be sent.

  • Select the message sender.

  • Click on 'Add Recipients' in order to include additional contacts.

  • Select the country code and enter the contact number.

  • Click on 'Add' to include the number under recipients.

  • Select a Zoho CRM filter to add a group of contacts.

  • Search for any specific contact to be added.

  • Enter the default country code.

  • Select the condition for the application of the default country code.

  • The settings available for default country code are as follows:

  1. do not add country code

The default country code can be ignored using this option and can be used if all the contacts in your CRM contain a country code.


  1. add for all phone numbers

In case the contact numbers in your CRM do not contain a country code, you can use this option to add the country code to all the phone numbers.


  1. add if phone number starts with 0

In case some of saved contact numbers begin with 0, you can use this option to add the default country code to such numbers alone


  1. add if phone number not starts with country code

Using the option the default country code would be added to contact numbers that do not contain a country code alone. In case the number contains a country code, the default country code will be ignored.

  • Enter the message to be sent or insert a template.

  • Insert user fields, contact fields, emojis and attachments.

  • Send the message to the Zoho CRM contact.

Contact Chats


  • Select Chat View from the drop-down beside the name of the extension.

  • Select the message sender.

  • Select the phone field of the contact.

  • You can now view all the conversations held with the contact.

  • Also, send messages from the Chat View.

Bulk Messages


  • Go to the Leads, Contacts, Accounts or Deals module of Zoho CRM

  • Select the required contacts.

  • From the drop-down on top click on 'Send Bulk Message - All In One'.

  • Select the SMS provider to send the bulk message from.

  • Click on 'Choose Sender'.

  • Select the message sender.

  • Click on 'Add Recipients' to add multiple contacts.

  • Enter the contact number and click on 'Add'.

  • Select a Zoho CRM filter to add a particular set of contacts.

  • Search for a specific contact within the module.

  • Enter the message to be sent or insert a template.

  • Include placeholders, emojis and attachments if required.

  • Send the bulk message using the desired SMS provider.

All In One SMS Dashboard


  • Click on the 3 dots on the panel on top.

  • Select 'All In One SMS Dashboard'.

  • Select the SMS provider to send messages from.

  • Select the message sender.

  • Click on 'Add Recipients'.

  • Enter the required contact numbers and click on 'Add'.

  • Similarly, multiple contacts can be added to send the message.

  • Enter the message or insert a message template.

  • Send messages using the selected messaging service.

Real-time Notifications


  • Click on the bell icon to view the real-time notifications.

  • View the unread and read messages which would be differentiated for ease.

  • Access the associated contact from the respective contact.

  • View the chats associated with the contact.

Conversation Inbox


  • From the drop-down adjacent to the name of the provider, select 'Conversations View'.

  • Here you can view all the conversations held using the messaging service.

  • Select any conversation to view the chat history and send messages.

  • View the read receipts for the messages sent.

  • Select any message sender to view the conversations from a specific sender.

  • Search for any contact number to view the conversations with a specific contact.

Automated Messages


  • Access the settings page of Zoho CRM.

  • Select 'Workflow Rules' under Automation.

  • Click on 'Create Rule'.

  • Select the module for which the workflow is to be created.

  • Enter the name of the workflow rule.

  • Click on 'Next'.

  • Setup the trigger and conditions for the workflow.

  • Click on Instant Actions.

  • Select 'Webhooks' from the drop-down.

  • In order to obtain the details of webhook setup, go to any Zoho CRM contact.

  • Select 'Send Message - All In One SMS' from the drop-down on top.

  • Select the SMS provider and message sender.

  • Enter the message to be sent through the workflow.

  • Click on 'Get Workflow Code'.

  • You can now view the details of the webhook setup.

  • Enter the name of the webhook.

  • Select the Method as 'POST'.

  • Copy the Webhook URL and paste it adjacent to 'URL to Notify'.

  • Under Body, select the Type as 'Raw'.

  • Select the Format as 'JSON'.

  • Copy the workflow code and paste it in the space provided under Body.

  • Erase the to number.

  • Enter '#' to select the phone field of the contact to which the message is to be sent.

  • Similarly, erase the value adjacent to recordId.

  • Enter # and select the field contact id.

  • Under Preview URL, click on 'Refresh URL'.

  • Click on 'Save and Associate'.

  • Click on 'Save'.

  • The automated messages would now be sent using the required SMS provider for the conditions setup.

Extension Settings


  • Click on your Ulgebra profile within the application to access the settings page.

  • View the settings of the application.

SMS Provider User Management


  • The Zoho CRM admin can enable the option for required users to use their authorized account of the desired SMS provider.

  • Select 'Manage App Users'.

  • You can now view the list of Zoho CRM users within the organization.

  • Click on 'Add' to enable the feature of the user.

  • Click on 'Remove' to disable the feature for a user.

  • The admin can also Add all or Remove all users.

  • On the user account, during the authorization of the SMS provider, the user can select the admin account to complete authorization.

Incoming Messages


  • Select Incoming events sync.

  • Here you can enable and setup incoming messages based on your requirements.

Desktop Notifications


  • Select 'Message Notifications'.

  • Enter the email id of the user for whom the desktop notification is to be enabled.

  • Ensure that the user has an Ulgebra account under the entered email id.

  • Click on 'Add User' to invite the user.

  • Share the invite link with the respective user.

  • The user must access the link on the browser.

  • Click on 'Start Receiving notifications on this browser'.

  • The user can now receive desktop notifications for incoming messages.

Application Tab


  • Select 'Open in New Tab' to access the extension at all times in a separate tab.

App Analytics


  • Select 'App Usage Analytics' to view the statistics of the usage of the SMS provider in Zoho CRM through the integration.

Reset Integration


  • Select 'Reset App Configurations'.

  • Enter confirm and click on 'Reset'.

  • All the data associated with the specific SMS provider would be deleted.

Message Sender


Add Sender


  • Click on the 'Choose Sender' drop-down below Sender.

  • Select '+Add New Sender'.

  • Select the channel of the sender to be added.

  • Enter the Sender Id from the respective messaging service.

  • Enter the display name for the sender.

  • Click on 'Save Sender'.

Default Sender


  • Click on the pin icon beside the name of the sender.

  • This sender would be selected by default while sending messages.

Message Templates


Create Template


  • Click on the Insert Template drop-down.

  • Select '+Add New Template'.

  • Enter the name of the template.

  • Enter the content within the template.

  • Click on 'Save Template'.

Edit Template


  • Click on the edit icon next to the name of the template.

  • Make the necessary changes.

  • Save the edited template.

Delete Template


  • Click on the delete icon next to the name of the template.

  • The template has now been deleted.
