Pre-requisites
Must be a Zoho Bigin user
Must have a MessageBird account
In case of WhatsApp, an approved WhatsApp number would be required
Approved templates are necessary to initiate WhatsApp conversations
Enable the required MessageBird Channels
Installation
Visit the Zoho Marketplace where you can find the application.
Agree to the required permissions.
Click on 'Continue'.
Select the users for whom the application is to be installed.
Click on 'Confirm'.
Click on 'Settings' within the configure page of the application.
Select the Zoho account DC from the drop-down.
Click on 'Authorize Now' to proceed to authorization of Zoho account.
Click on 'Accept' to authorize Zoho account.
Enter the live access key from the MessageBird account.
Authorize MessageBird account.
MessageBird integration has been setup inside Zoho Bigin.
Applications
Contact Conversation
Go to any Zoho Bigin Contact or Deal.
Click on 'Send MessageBird Message'.
You would now be redirected to the application.
Click on Choose Sender and select the MessageBird channel.
Click on 'Add Recipients' in case you wish to include multiple contacts.
Select the country code and enter the contact number.
Click on 'Add'.
Search for any existing contact to add a specific Zoho Bigin contact.
Enter a default country code if required.
Select the condition for the application of the default country code.
The conditions available are as follows:
do not add country code
The default country code can be ignored using this option and can be used if all the contacts in Zoho Bigin contain a country code.
add for all phone numbers
In case the contact numbers in Zoho Bigin do not contain a country code, you can use this option to add the country code to all the phone numbers.
add if phone number starts with 0
In case some of saved contact numbers begin with 0, you can use this option to add the default country code to such numbers alone
add if phone number not starts with country code
Using the option the default country code would be added to contact numbers that do not contain a country code alone. In case the number contains a country code, the default country code will be ignored.
Enter the message or insert a message template.
Send the MessageBird message to the Zoho Bigin contact.
Contact Chats
Select Chat View from the drop-down adjacent to MessageBird.
Select the MessageBird channel from which the chat was held.
Select the recipient contact number in case multiple numbers are available.
You can now view the history of MessageBird chats held with the contact.
Send MessageBird messages to the listed contacts
Go to the Contacts or Deals module of Zoho Bigin.
Select the contacts to send the message from the list view.
Click on 'Send Message -MessageBird'.
You would now be redirected to the application
Select the MessageBird channel to send the message from.
Include additional contacts using the 'Add Recipients' option.
Add the required contact numbers.
Enter the message or insert a template.
Send the message using the MessageBird channel.
Real-time Notifications
Receive instant notifications for incoming messages from MessageBird.
Click on the bell icon to view the notifications.
You can view the unread and read notifications which would be differentiated.
Access the associated contact from the notification.
Access the chat history of the respective contact as well.
Message History
Access the Notes section within any Contact or Deal.
Here you can view the details of the MessageBird messages sent and received.
Extension Settings
Click on your Ulgebra profile within the application to access the settings page.
You can now access the general features, admin settings and advanced settings .
Also access the help guide and support details from the settings page.
MessageBird Inbox
Click on MessageBird Inbox.
You can now view all the conversations held with the MessageBird account.
Select any conversation to view the history of chats.
Also, send messages from the inbox if required.
Select any MessageBird channel to view the conversations held using a particular channel.
Search for any contact number to view the conversation of a specific contact.
Manage MessageBird Users
As the Zoho Bigin admin, you can allow users to use a shared MessageBird account.
Click on 'Manage App Users'.
You can view all the Zoho Bigin users.
Click on 'Add' to enable the users to use your authorized Messagebird account.
Click on 'Remove' to disable the users from this feature.
You can also 'Add all' or 'Remove all' users.
Once the admin has added the user, the user can view the invite sent on the application settings page.
The user must accept the invitation.
Select the Zoho Bigin admin account to complete MessageBird authorization.
Incoming Settings
Select 'Incoming events sync'.
Enable 'Capture incoming messages' to receive the incoming MessageBird messages into Zoho Bigin.
When an incoming message is received from a non-existing contact number a new contact would be created in Zoho Bigin.
In case you do not wish for new contacts to be created, enable the option 'Ignore messages from NEW customers'.
You can view the list of MessageBird channels associated with your MessageBird account.
Enable the MessageBird channel you wish to receive incoming messages from.
Disable the MessageBird channels you do not wish to receive incoming messages from.
Application Analytics
Select 'App Usage Analytics'.
You can now view the analytics of the usage of MessageBird for Zoho Bigin.
Desktop Notifications
Select Message Notifications from the settings page.
Enter the email id of the user for whom you wish the enable desktop notifications.
Ensure that the user has an Ulgebra account under the entered email id.
Click on 'Add User'.
Share the invite link received with the respective user.
The user must access the link on their browser.
Click on 'Start Receiving desktop notifications on this browser'.
The user can now receive desktop notifications for your incoming MessageBird messages.
Reset Application
Select 'Reset App Configurations'.
Enter 'Confirm' and click on 'Reset'.
All the data of the application would now be deleted.
Message Sender
Add Sender
Select '+Add New Sender' from the Choose Sender drop-down.
Select the MessageBird channel as SMS, WhatsApp or Viber.
Enter the MessageBird sender id.
Enter the name to display the sender.
Click on 'Save Sender'.
Default Sender
Click on the pin icon adjacent to the name of the sender.
This MessageBird sender would now be selected by default while sending MessageBird messages.
Hide Sender
Click on the visibility icon adjacent to the name of the sender to hide a particular sender.
Message Template
Create Message Template
Click on the Templates drop-down.
Select '+Add New Template'.
Enter the name of the template.
Enter the content within the message template.
Click on 'Save Template'.
Edit Template
Click on the edit icon beside the name of the template.
Make the changes required.
Save the edited template.
Delete Template
Click on the delete icon beside the name of the template.
The message template has been deleted.
Approved WhatsApp Templates
Access the MessageBird approved WhatsApp templates inside the application.
Click on 'Insert WhatsApp Template'.
Select the required MessageBird approved WhatsApp template from the drop-down.
Enter the values for the placeholders within the template.
