Acuity Scheduling for Zoho Recruit

Installation

• Visit the Zoho Marketplace where you can find the extension Acuity Scheduling for Zoho Recruit.

• Install the extension.

• Agree to the terms and click on 'Install Now'.

• Click on 'Agree and Continue'.

• Select the Zoho Recruit users for whom the Acuity Scheduling integration is to be installed.

• Click on 'Confirm'.

• Click on the three dots at the panel on top and select 'Acuity Settings'.

• Sign in to Ulgebra using your Zoho Recruit email id.

• Select the DC of your Zoho account.

• Click on 'Authorize Now'.

• Click on 'Accept' to authorize the Zoho account.

• Enter the Acuity Scheduling User Id and API Key.

• Authorize Acuity Scheduling account.

Acuity Scheduler has now been integrated with your Zoho Recruit.

Applications

Schedule Acuity Appointments

• Go to any Zoho Recruit Contact or Candidate.

• From the drop-down at the right side, select 'New Acuity Appointment'.

• You would now be redirected to the Acuity Scheduling integration for Zoho Recruit.

• Here you can view the list of all the Acuity Scheduling events.

• Click on 'Book' adjacent to the Acuity event you wish to book an appointment with.

• You can also access a specific event from the All Appointments drop-down.

• Select the date and time at which the appointment is to be scheduled.

• Click on 'Continue'.

• Edit the pre-filled details if required.

• Enter the required booking details.

• Click on 'Complete Appointment' to schedule the Acuity Scheduling appointment with the Zoho Recruit contact.

• Receive the confirmation for the appointment booked.

Contact History

• Select Events History within the application.

• You can now view the upcoming and past Acuity appointments scheduled with the Zoho Recruit Candidate or Contact.

Acuity Events

• Within each Contact or Candidate, view the details of Acuity events.

• Select 'Invited Events' to view the details of all the Acuity appointments.

• Select 'To-Dos' to view the list of upcoming Acuity events.

Acuity Scheduling Dashboard

• Click on the three dots at the panel on top and select 'Acuity Dashboard'.

• Here you can view all the Acuity Scheduling appointments booked.

• Click on 'Show past meetings' to view the completed Acuity Scheduling appointments.

• Select any Acuity event from the All Appointments drop-down to view the appointments of a specific event.

• Search for any contact email id to view the Acuity appointments of a specific contact.

• Select any appointment to view the booking details.

• You can also reschedule or cancel upcoming Acuity appointments.

• Click on 'Cancel'.

• Click on 'Yes, cancel appointment' to complete the booking cancellation.

• Click on 'Reschedule' to proceed to modify the appointment.

• Select the date and time at which the event is to be rescheduled.

• Click on Reschedule.

Booking Links

• Select Event Links within the application.

• Here you can view the list of Acuity Scheduling events.

• Click on open to be redirected to the Acuity event.

• You can also copy the booking link and share it with any contact.

• Select any event from the All Appointments drop-down to obtain the booking link for a specific event.

Real-time Notifications

• Receive real-time notifications for Acuity appointments booked.

• Click on the bell icon within the application to access the notifications.

• Here you can view the latest appointments booked along with the viewed notifications which would be differentiated for ease.

Extension Settings

• Click on the three dots at the panel on the top of Zoho Recruit.

• Select 'Acuity Settings'.

• View the general features, admin settings and the advanced settings of the extension.

Acuity Scheduling Tab

• Select 'Open in New Tab'.

• This way you can access the integration at all times in a separate tab.

Acuity User Management

• The Zoho Recruit admin can now share a single Acuity Scheduling account with all the required users.

• Select 'Manage App Users'.

• Here you can view the list of Zoho Recruit users.

• Click on 'Add' to allow the user to use your Acuity Scheduling account.

• Click on 'Remove' to disable the Zoho Recruit user from this feature.

• The added Zoho Recruit user can now view the invitation from the admin on the Acuity Settings page.

• Accept the invite from the admin.

• Select the admin account to complete Acuity Scheduling authorization using the admin account.

Incoming Events

• Select 'Incoming events sync' to setup incoming Acuity events.

• Enable 'Capture incoming events' to receive Acuity appointments scheduled into Zoho Recruit.

• Select the Candidates or Contacts module in which new contacts are to be created for appointments booked by non-existing contacts.

• Enable 'Ignore event from NEW customers' to prevent new contacts being created.

• You can view the list Acuity Scheduling events.

• Enable the events from which you wish to receive incoming events.

• Disable the events from which you do not wish to receive incoming events.

Application Analytics

• Select 'App Usage Analytics'.

• Here you can view the statistics of the usage of the Acuity Scheduling integration for Zoho Recruit.

Reset Application

• Select 'Reset App Configurations'.

• Enter 'confirm' within the space provided.

• Click on 'Reset'.

• All the data of the application would now be deleted.
